MINUTES
Powell River Sunshine Gogos
Business Meeting
November 1, 2016 / 10:00 am / Blue Mountain Estates Clubhouse

1.        Welcome: We welcomed new member Marjorie MacLeod who has recently moved here from Qualicum. Others in attendance: Janice, Malerie, Helen, Pat, Jan B., Ronnie, Faye, Maureen, Maggie, Jan P., Sandy, Leslie, Juliet, Charlotte, Libba
         
        Reminder to members that $10 membership fee for 2017 is due.

2.      Agenda was approved.

3.      Minutes of Sept. 14, 2016 meeting were approved.

4.      Old Business:
-  Regarding sending event information to Vancouver Island and Greater      VanGogos, Malerie will let them know of events we are holding.

5.     Financial Report:
          No changes. No report this meeting.

6.     Fundraising:
-  Progress report on Chair Auction:  45 chairs so far. Two artists have taken chairs already. Hope to have all chairs primed by February. Some chairs are at the Academy of Music in an art room and can be sanded and primed there. There will be another work bee in the New Year. Contact Maureen for more information or if you want a chair to prepare. Hope to have 60 chairs ready for auction in the summer.
-  Planning for Lund Craft Fair: Nov. 26. It was noted that the Dwight Hall fair is the weekend before this year. Schedule doodle will go out next week for workers at the Lund Fair. Malerie will confirm our table booking.
-  Hospital Bake Sale: Monday Dec. 12 from 9-4, set-up at 8. Gogos are asked to bring packaged baked goods to Charlotte’s at 5448 Maple St. on the Saturday or Sunday before. Soups and preserves sold well last year as well. Malerie will send out a reminder email after the Lund Fair.

7.     Merchandise:
-  Totes continue to be created .... thanks Maggie and friends.
-  Maureen showed pillows and casserole carriers that she had sewn for the next sale. People thought they looked great. Thanks Maureen.
-  Marjorie said that she does wood burning and would be interested in trying to make some smaller works that might be fun to sell.
                 
8.    Regional Initiatives:
-  Vancouver Island Regional Meeting - March 11, 2017, Fanny Bay Community Hall  -- if anyone happens to be on the Island then, it might be fun to attend.
-  Greater Van Gogos Regional Meeting - to be organized by OUR neighbourhood, which includes North Shore-Sunshine Coast, on a date in 2017 as yet to be determined. If anyone is interested in helping with the organization of this meeting, call Wendy Mickelson at 604-984-9799.
                 
9.     Advocacy and Education:
-  Maureen had been in conversation with a woman who is willing to come and talk about a recent trip to Africa. It was felt that it may be best not to combine her talk with the Film Night being planned. Perhaps we will invite her to an educational night for members and friends.
-  Dessert and Film Night: The Thinking Garden - 34 min. and The Sharing Garden - 15 min. Jan P. has booked the Max Cameron Theatre for April 22. The school district will give us the theatre free of charge. We will pay for the projectionist. The first film is free as it will really be a preview, but we will have to pay for the second film. We will bake goodies to be served before the films and will have a no host bar. The women involved in the making of the first film should be able to attend so that we can have a q & a after its viewing. Other groups from the community involved in food stewardship will be invited to set up displays. Tickets will be offered for pre-sale and it was felt that prices should remain low so that all may attend. A planning committee (Jan P., Janice, Ronnie, Juliet, Leslie) will meet in mid-January.

10.    Other Business:
-  Update Brochure: Nicole is willing to update the brochure for us as some of the information is out of date. Malerie will meet with her and is willing to take over updating brochure herself. Brian Masters donates the printing of the brochures.
-  Posters for upcoming events: Malerie has templates for the Craft Fair and Bake Sale posters. She will update them and Maggie will print them. Alison and Heather usually take care of distributing the posters.

11.    Next Meeting:

-  Tuesday January 24, 2017 at the Mountain Estates Club House. People appreciated this space (thanks Maureen) and it was felt that a morning meeting was preferable to an evening one, especially in the winter.

Directions to the Meeting:
Drive up Duncan Street.  Across from the airport/Julie’s café - you will take the first entrance into Blue Mountain Estates; straight ahead as you drive in is the clubhouse- #234.  Across from the clubhouse there are about 10 visitor parking spaces: there are another 10 parking spots if you enter from the second entrance (off Duncan) into the "estates". Minutes
 1)      No new members in attendance however Maureen received a call from our Peak announcement. Marjorie MacLeod, former member of the grandmothers’ group in Qualicum has moved to Powell River and would like to join our group. (contact info:innisfreewest@hotmail.com)

2)      Regrets: Malerie, Leslie, and Helen advised that they could not attend

3)      Agenda was approved

4)      Financial Report: balance as of August 31 was $2996.32. Maureen moved that the financial report be approved; seconded by Jan Padgett; carried: yes

5)      Fundraising: progress report on the chair auction: We have approx 60 chairs for the auction, we will be teaming up with Friends of the Library to prep the chairs, approach artists to paint the chair and managing the auction itself. Maureen will set up some work party dates to sand and prime the chairs (at Jan Padgett’s barn). We will ask volunteers to commit to prepping one or two chairs-that way we should be able to get all the chairs ready for the artists by the Spring. Check out UTUBE sites (and be inspired) to see some of the chairs that have been auctioned by other groups (Hornby Island Chair Auction; West Vancouver Chair Auction; Costa Rica Chair Auction, etc)  If you have questions, chairs, and/or want to make a commitment to prep a chair-contact Maureen!

6)      Merchandise Reports: Totals: Logger’s Sports = $483; Prisma on the Beach and Markets = $1140; cash in tote petty cash acct. = $485; we will not continue with Mabel’s Labels this year; Grandmother to Grandmother decals: we will give a decal to each member/new member; we will have them available at the merchandise table for anyone who would like to purchase one; Maggie has the discretion to include a decal with a tote purchase if it seems appropriate; Maureen will work on a new batch of potholders for the Lund Craft Fair; Helen has made made a number of wine bags and hats over the summer-no more are needed at this time; Sandy will be making some new cards for Fall Fair and Lund Craft Fair; any one who would like to join her making cards, please contact her

7)      Regional Initiatives: Janice will ask that we be kept in the loop as far as the plans for the Spring gathering-members need to know more details and dates before making a commitment to attend. Any member(s) who may be interested if the dates work for them to attend-please let Janice know so we can keep you informed of the plans as they unfold

8)      Upcoming events: Lund Craft Fair – Nov 26 ; Hospital Bake Sale – TBA (Charlotte will approach the hospital to see if we can hold the bake sale on Dec 12); Film (The Thinking Garden) & a Tea – April ?; Chair Auction – summer 2017

DIRECTIONS WILL BE PROVIDED WITH THE REMINDER THAT WE SEND CLOSER TO THE DATE OF THE MEETING. We would appreciate your attendance at this meeting as all the details of our fundraising projects will be discussed and we really need the support of the members at this time of year. We understand that everyone is busy, and there are some members who are busy “creating” items for our fundraising all year long. We really count on those members who aren’t sewers, knitters, crocheters or card crafters to work at the Gogo merchandise table or do some baking, distribute posters etc to help out. Please consider volunteering for these jobs

A partnership has been struck between Powell River Sunshine Gogos and Friends of the Library for a fabulous fundraiser event! It will be called "A Chair to Remember"  (a take off on the famous movie "An Affair to Remember".)
 
This is a fabulous event and a fabulous fundraiser! The gist of it is: We collect wooden chairs, stools benches etc (hopefully free), we sand and prime them, and then invite artists to adopt a chair and create a useable work of art!! You may also have an "inner artist" and want to adopt and create a chair yourself!!

We have a friend in Ladner who recently scoured the streets in her neighbourhood during the annual free "junk pickup" and managed to pick up 28 chairs. Our goal for this our first chair auction is 60 chairs - so we are almost half-way there!  Rumour has it that there is a similar "junk pickup" in June in Victoria (maybe Oak Bay?)

We are planning to hold the chair auction in 2017 .... in the meantime we need your help and your involvement in this fabulous project.

We need chairs! We need people to pick up the chairs from Ladner (and maybe Victoria).  We need people to store chairs  -they can be stacked now, but later after sanding/priming/painting they will need more room so they don't get marked. And in the months to come we will need help sanding and priming the chairs.

Just to give you an idea of what this could generate:  Hornby Island has done two chair auctions - the first with 110 chairs which generated $28,000; the second with 100 chairs that generated $22,000. West Van held an auction with 60 chairs raising $10,000.
